Chargeable weight in air freight: when 43 kg costs more than 45

There is one place in air freight where the arithmetic works against intuition: a shipment can cost less if you bill it as heavier. This isn't a trick or a loophole — it's a feature of the tariff structure that the forwarder is obligated to apply in the client's favor.

And it gets missed more often than any other error in air freight invoices.

First calculation: how much does air weigh

In air freight you don't pay for how much a shipment weighs, but for how much space it takes up — unless it's heavy. Formally: the chargeable weight is the greater of two values, the actual gross weight and the volumetric weight.

The volumetric weight is calculated using the standard ratio: 6000 cubic centimeters per kilogram. That means a cubic meter of air cargo weighs about 167 kg, whatever is inside it.

Example. A box 120 × 80 × 100 cm, gross weight 85 kg.

Volume: 120 × 80 × 100 = 960,000 cm³
Volumetric weight: 960,000 ÷ 6000 = 160 kg
Gross weight: 85 kg

It's billed at 160 kg, even though it weighs 85. Almost double.

One exception worth remembering: express operators often use 5000 cm³/kg, and some carriers apply their own divisors for specific products. Check which divisor applies in your contract before calculating — the difference between 5000 and 6000 is twenty percent of the invoice.

Second calculation: where the tariff jumps

Air tariffs aren't linear. They're tiered: one rate for shipments up to 45 kg, another from 45, another from 100, 300, 500 and so on. The heavier the shipment, the cheaper the kilogram.

This gives rise to a situation that looks, at first glance, like a mistake.

A shipment weighs 43 kg. The rates for the lane:

Calculated directly: 43 × 4.20 = €180.60
Calculated as 45 kg: 45 × 3.10 = €139.50

Difference — €41.10 on a single shipment. The client pays less, even though formally more kilograms are billed.

This is called a weight break, and it isn't optional. When billing under a higher tier is cheaper, it must be applied.

Why it's often not done

You have to recalculate every tier, not just one. A system that takes the weight and finds the matching tariff is correct and incorrect at the same time. To find the cheapest option, you have to recalculate every tier above and compare the results. That's five lines of code, but they have to be written.

Not every system does this. Some carrier systems apply the weight break automatically, some don't. When it's not applied, the invoice looks perfectly normal — there's no sign that anything is wrong. The arithmetic is correct, the rate is from the contract, the total matches. It's just that the cheapest option wasn't chosen.

The difference on a single shipment is small. Forty euros isn't an amount that makes anyone open the rate table. But the number of shipments landing near a tier boundary is high over a year — and the odds of landing near a boundary are higher than random, because the tiers are set at typical weights.

A third thing: what surcharges are calculated on

Fuel and security surcharges in air freight are calculated per kilogram. The question is — which kilogram.

They should be calculated on the chargeable weight. Sometimes they're applied to the gross instead. When the shipment is dense, there's no difference. When the shipment is light and bulky — then the chargeable weight is higher than the gross, and the error works in the client's favor. But the reverse happens too.

Worth checking at least once: take one invoice, divide the surcharge amount by the surcharge rate per kilogram, and see which weight comes out.

What you can check in five minutes

Take three air invoices from the last quarter and for each:

1. Recalculate the volumetric weight from the dimensions. Does it match what's stated?

2. Check whether the weight is close to a tier boundary. If the shipment is 38–44 kg, 90–99 kg or 280–299 kg — recalculate under the next tier.

3. Divide the fuel surcharge by the rate per kg. Which weight comes out — gross or chargeable?

If you find nothing in any of the three, the odds that the rest is a systematic error are low. If you find one — it's worth reviewing the whole quarter.

And one more check that costs a microsecond

The air waybill number has a check digit: the last digit is the remainder of the seven-digit serial number divided by seven.

This means a wrong AWB number can be detected without any database, from the number alone. And a wrong number means a delayed customs transit, a lost shipment, and often a storage fee at the terminal — where time is counted in hours.

It's the cheapest-to-detect expensive error in the whole air freight process, and remarkably few people check it.

Frequently asked questions

Does the 6000 ratio always apply?

That's the standard air freight ratio, but express operators often use 5000, and carriers may apply their own divisors for specific products. Check your contract.

Can I claim a retroactive recalculation?

It depends on the claim deadlines in the contract. As a practical rule, the sooner the better, since on the carrier's side this is usually a system-configuration error they also want to fix.

Does the weight break apply to consolidated shipments too?

Yes, but the calculation is more complex because MAWB and HAWB weights differ. It's precisely in consolidations that most discrepancies are found.

How is the chargeable weight rounded?

Usually up to the nearest half kilogram. Near a tier boundary, that can matter.
