Fuel consumption anomalies

Fuel receipts pile up in every carrier's inbox or paper folder, but rarely does anyone systematically compare them against what a vehicle should actually have consumed. The Fuel module does this automatically — for every receipt, every vehicle.

The same receipts also feed excise refund reconciliation — no separate upload step. There we compare your receipts against your intermediary's refund report and show the unclaimed litres.

How it works

01 You set the norm

For each vehicle you specify expected consumption (L/100 km). Nothing is calculated for you.

02 You upload receipts

The system extracts the vehicle number, fuel quantity, price and odometer reading.

03 You see the deviations

When actual consumption deviates from the norm by more than 15%, you get a flagged anomaly with an explanation.

Two parallel paths

The single-receipt path (one fill-up, distance from the odometer difference) and the consolidated monthly invoice path (for a fleet, with cards linked to vehicles). Both feed into one combined "Fuel anomalies" report.

CSRD / Scope 3 emissions report €49/mo

More and more large companies are requiring Scope 3 emissions data from their carriers and logistics partners — as a condition of business, not a choice. The Fuel module converts your consumed liters into CO₂e (kg) and MWh using publicly published factors, broken down by vehicle, with assumptions clearly flagged wherever data is missing.

The add-on is selected on the order form (pricing) or available as a €199 one-time report — existing clients can order it directly in the client portal. Read more

Foreign VAT and excise refund detection €49/mo

The same fuel receipts you already upload for consumption analysis also carry VAT paid abroad. The VAT refund detection add-on uses those same documents and shows how much VAT has accumulated by country and which documents won't qualify for a refund. Read more

Frequently asked questions

Does the system calculate the norm itself?

No, deliberately. The client sets the norm based on their own vehicle and route — that way anomaly detection relies on your real knowledge, not a system guess.

How many receipts are needed to detect an anomaly?

At least two receipts for the same vehicle with odometer readings — the distance driven is calculated from them and compared against expected consumption.

Is the CSRD report included in the plan automatically?

No — it's a separate add-on (€49/mo), checked as a separate box when ordering a plan. For clients who only need the report occasionally, there's also a one-time €199 option with no ongoing subscription.

How long are uploaded documents kept?

Original documents are kept for 24 months from upload, customs documents for 40 months. After the period expires the original file is deleted automatically, the data extracted from it remains. If you want a specific document removed earlier (GDPR Art. 17 right to erasure), contact us by email — there is currently no self-service delete button in the portal.
